Procurement & Facility Administrative Assistant

Your position

Credendo – Export Credit Agency is currently looking for a Procurement and Facility Administrative Assistant (m/f/x).

 

As an administrative assistant, you will provide administrative support within the Procurement and Facility Management department under the direction of the Facility Management Coordinator.

 

You will carry out various daily administrative tasks:

 

In support of Facility Management:

 

  • You will establish and monitor the management of budgets, the various budget envelopes allocated and the orders of the Facility Management service.
  • You will be responsible for administrative tasks in preparation for payments made by the Finance department.
  • You will assist the Facility Management Coordinator and the Head of Procurement and Facility Management in managing contacts with suppliers and in negotiating contracts for basic supplies.
  • You will be responsible for managing the stock of supplies and furniture.
  • You will be responsible for monitoring the performance of subcontractors and service providers (security, cleaning, reception, catering, etc.) and you will be in charge of managing the allocation of office space in support of your manager.
  • In collaboration with your colleagues of Facility, you will be responsible for the back-up of certain logistical Facility Management tasks such as reception, copy centre, mail, etc.
  • You will write procedures and instruction manuals and manage the electronic administration.

 

In support of Procurement Management:

 

  • You will provide support to the Procurement Specialists in the administration of the Procurement (RFP), the management of supplier contacts and the publications (managing the publication, checking the conformity of the offer, controlling the financial means, etc.).

 

You will be a reference person for fleet management:

 

  • You will be responsible for the operational follow-up of the fleet management of the pool cars.
  • You will be in close contact with colleagues of the HR department (Compensation and Benefits) and the leasing company for the management and negotiation of offers, questions and/or requests.
  • You will offer solutions to our drivers when necessary.

Your profile

  • You have a secondary school diploma or a bachelor's degree and you have a first relevant experience, preferably in an equivalent function.

  • You are meticulous in your tasks, which enables you to handle files from A to Z.

  • You show a proactive approach in organising and managing your responsibilities.

  • You are a team player and have a customer-oriented attitude.

  • You have a good command of MS Office and are willing to learn to use other IT tools.

  • You are fluent in Dutch and French, both orally and in writing. Knowledge of English is a plus.
